Customers
In simple words
Customers is your master list of buyers. It also decides the price they get. The customer group controls tier pricing and tax, and the address type (Residential or Commercial) controls freight. Enter the customer correctly once, and every future quote and order is priced correctly by itself.
The problem it solves
When customer details are kept in personal notebooks and email, the same buyer is created two or three times with different discounts. Nobody knows the customer's history before calling them, and pricing becomes a discussion inside your own team instead of a clear rule.
What happens without it
| If you do not have one customer master | What it means for your business |
|---|---|
| The same customer exists several times | Their history is split, so you do not know what the account is really worth |
| Discounts are remembered, not recorded | The same customer gets different prices from different executives |
| Trade prices are applied manually | Profit is lost slowly, and nobody notices |
| Address type is not recorded | A home delivery is quoted at commercial freight rates, and you pay the difference |
| Tax is decided quote by quote | Compliance risk and corrections later |
| No history is visible during a call | Your executive talks to the customer without background, and misses easy add-on sales |
| Documents are saved by each person | Designs and approvals are lost when someone leaves |
Time you save
| Task | The manual way | With Customers | You save |
|---|---|---|---|
| Find a customer during a call | Search email and ask colleagues — 5–10 min | Search the customer list — a few seconds | 5–10 min per call |
| Give the correct price for an account | Find the last quote and copy the discount — 5–10 min | The customer group applies it automatically | 5–10 min per quote |
| Quote freight correctly | Check if it is a home or site delivery, then check rates — 5 min | Address type decides the calculation | 5 min per quote |
| Review an account before an offer | Collect orders and quotes from two places — 20–30 min | Orders, quotes and files are on the profile | 20+ min per review |
| Set up a dealer with special pricing | Note the discount in Excel and inform every executive | Add the customer to a group, once | Hours per account |
| Clean up duplicate customers | Manual checking from time to time — days | One record, created once | Days per year |
Your process, before and after
The price depends on which executive answers the phone, and the history depends on who remembers the customer.
The customer record decides the price, tax and freight. Any executive can open any account and see its orders, quotes and documents before starting the conversation.
