Order Management

4–6 hours saved every week
For a team handling 30 customer questions and 20 shipments a week

In simple words

Order Management keeps everything about an order in one place: what the customer bought, what they paid, what has been shipped and what was refunded. Sales, warehouse and accounts all see the same information.

The problem it solves

When orders are tracked in Excel sheets and emails, simple questions become difficult. Has this order been invoiced? Has it shipped? Was the refund done? Why is it on hold? Every answer needs a phone call, and the customer waits while you find out.

What happens without it

If you do not have Order ManagementWhat it means for your business
Order status is kept in Excel and emailEvery "where is my order?" call takes 5–10 minutes of searching
Invoices are prepared by handBilling happens after delivery, so payment comes late
Tracking numbers are sent by email onlyCustomers call you for tracking, and your team answers the same question daily
Refunds are done informallyNo record, arguments with accounts, and profit lost without anyone noticing
Failed card payments are noticed days laterYou lose the payment, or you ship goods that were never paid for
Cheque and bank transfer payments are noted in a diaryMonth-end matching takes days and never fully balances
There is no order historyIf there is a dispute, nobody can prove what happened

Your process, before and after

✖ Before

The order is in Excel, the invoice is with accounts, the tracking number is in someone's sent items and the refund is in a notebook. To answer one customer, you check all four.

✔ After

One order record holds the status, invoices, shipments, credit memos, payments and full history. Sales, warehouse and accounts each do their work in the same place, and the customer gets a clear answer the first time.

Who uses it

  • Sales support team — creates orders, corrects details, updates status
  • Warehouse team — creates shipments and adds tracking numbers
  • Accounts team — invoices, credit memos, offline payments and payment retries
  • Customer support — answers customer questions with correct information

When to use it

  • Every day, to process new and running orders
  • When goods are shipped and tracking has to be added
  • When a customer needs a refund, a partial credit, or an offline payment recorded
  • When an accepted quote has become an order and needs to be delivered
